This internship was located in the Human Resources Information Systems (HRIS) department of the agency as part of the Pathways Program. Projects focused on generalist duties that provided hands on experience developing and improving human resources tools for current and prospective employees and interns.
The product:
The HRIS department provides information and processes for employees and interns of AmeriCorps. The primary platform used for internal systems is SharePoint. The platform is used to disseminate information to employees, manage content, and improve workflows. Multiple departments utilized the UX team within the HRIS department to find solutions to employee / intern pain points. The UX team conducted research to gain insights, analyzed existing sites for improvement, and developed new sites for better user experiences. As part of the UX team, I provided support on existing projects, collaborated on new projects, and led proposed concepts.
The problem:
Departments within the agency need to have sites that provide employees / interns with agency to streamline workflows, learn about internal processes, and complete tasks. Employees / interns face challenges learning about the objective and purpose of different departments and cannot complete tasks efficiently.
The goal:
Create solutions for various departments within the agency, reduce user pain points, and facilitate successful task completion.
Role: UX design intern
Timeline: 2024 to 2025
Responsibilities: Generalist duties including - conducting interviews, paper and digital wireframing, low and high-fidelity prototyping, reviewing existing data, iterating on designs, updating sites, determining information architecture, and analyzing existing sites.
Intern / New Hire Onboarding Redesign - Led research team to gather data on the onboarding experience for interns and new hires. Interviews were conducted with interns to document their onboarding experience to determine successes and pain points during the process. New hire orientation conducted in the field to gain insight on the structure and implementation of the program. Presented findings.
Departmental Dashboard Redesign - Supported card sort analysis for dashboard redesign of primary human resources SharePoint site. Presented and justified proposed changes.
Team SharePoint site Redesigns - Worked with UX team to conduct heuristic analyses for multiple offices within the agency to determine what was working / not working on each site. Gathered insights for best changes to existing sites to alleviate user pain points while aligning the redesign to different teams expectations.
Assisted with Heuristic Analysis of Open Enrollment SharePoint site.
Wireframes of multipage Open Enrollment SharePoint site.
Mockup of subpage of Open Enrollment SharePoint site.
Assisted with Final published subpage of Open Enrollment SharePoint page.
Working with the 2024 - 2025 internship cohort, a resource hub was designed to help interns and new hires know who to contact and what forms need completion for onboarding. In the course of the resource hub development, a central website was proposed that would showcase the resource hub and additional points of knowledge that would help new hires.
After conducting interviews with interns and doing field research through new hire orientation, changes were made to the internship SharePoint site. The site was developed so that it could be broadened to address challenges throughout the internship lifecycle. Through the Training and Development office, a sister site will be designed to address the specific challenges to new hires (non-interns).
Across Offices and Teams:
Increased agency among Employees, New Hires, and Interns
Efficiency in information distribution
Positive solution based outcomes
Improved office organization and content management
My Takeaways
I gained more experience working within a government agency and working with an established department (Human Resources). There are specific challenges that government agencies face that is different from for-profit and non-profit organizations. Also, working within the Human Resources department enabled me to gain experience implementing UX strategies and methodologies to an established team that serves as the nerve center to successful internal management.
